General Information
For the 2011 Annual Meeting, meeting registration and hotel accommodations are linked. Annual Meeting attendees must first complete the meeting registration process before making a hotel reservation at the AHA’s meeting rates.
Rates subject to city and state taxes of 14.45 percent per room, per night (subject to change without notice).
Rates will be honored three days before and after official meeting dates of January 6–9 based upon availability of the hotel at the time the reservation is made.
Cut-off: Reservations should be made by December 7, 2010. After this date, remaining inventory in each hotel’s block will be released and rooms will be available at the AHA’s convention rates on a space-available basis at the time of reservation. Frequent updates on availability will be posted on the AHA’s web site. If all hotels sell out, the AHA will secure additional hotel rooms and post details on the AHA web site.
Credit Card Guarantee: A major credit card is required for all reservations at the time of booking. The following cards are accepted: MasterCard, Visa, American Express, Diners Club, and Discover. The card must be valid through January 2011.

Cancellation policies: Attendees must cancel at least 72 hours prior to reserved arrival date or one night’s room and taxes will be charged. If a reservation is not cancelled and the individual is a “no show,” the hotels will charge one night’s room and taxes as a penalty.
Instructions
Please Note: You must first register for the meeting before you can book housing at the AHA rates.
The AHA Housing Desk through the Boston Convention and Visitors Bureau will handle the hotel reservation process for the 2011 AHA Annual Meeting, including standard room and suite accommodations. Office hours for phone transactions are Monday through Friday 8:00 a.m.–5:00 p.m. Central Time. Internet is available 24 hours a day/7 days a week.
Attendees should have the following information available when calling the hotel or making a reservation online: Guestrooms and suites will be booked on a first come, first served basis.
- Badge number from preregistration confirmation e-mail. If you do not have this number, you cannot proceed.
- Arrival and departure dates with arrival time
- Number of rooms required (block reservations not permitted)
- Hotel choices in order of preference
- Type of room (single, double, triple, quad)
- Special requests (e.g. nonsmoking, higher/lower floors, one or two beds, accessibility, etc.)
- Number and names of persons to occupy the room(s)
- Credit card number and expiration date (must be valid through 1/31/11)
- Mailing address, telephone numbers, and e-mail address
Additional information: An acknowledgement will be e-mailed when an e-mail address is provided unless otherwise indicated. All processing deadlines and cancellation policies are noted on acknowledgements. The attendees selected hotel will NOT send a separate confirmation. Reservations may be cancelled by telephone, fax, or email until 5:00 p.m. CST on December 7, 2010. Attendees will not be penalized for any cancellations made through this date. The attendee’s must contact the hotel directly beginning December 15, 2010 to process cancellations. (Between December 7 and December 14 the housing service will forward lists of reservations to individual hotels to be processed into their reservations systems.)

Suite Rates and Inventory
To rent a suite, attendees must first preregister for the meeting. Suite requests can only be made in writing, by e-mail or fax.
If you are preregistering online, once you complete the registration process you will be redirected to the AHA Housing Service's home page. On this first screen, under "Request a Suite" in red lettering, you will be provided the e-mail and fax number.
The housing form, Section 4, "Booking Details," provides the e-mail address and fax number.

Suite reservations cannot be made via the online, phone call, or with the hotels directly.
